Project Coordinator
Overview: Cyber Defense Technologies (CDT) is seeking a Project Coordinator to join our team to facilitate effective planning, execution, monitoring, and delivery of high-priority projects. The position supports the development and maintenance of high-level project schedules, resource tracking, contract requirements, user requests, KANBAN agile processes, system authorization activities, risk management, deployment coordination, procurement, travel arrangements, and financial reporting.
The Project Coordinator is responsible for maintaining accurate project documentation, tracking milestones and deliverables, coordinating stakeholder activities, preparing monthly status reports, and supporting the maintenance of accurate budget reports. This role helps ensure project activities remain aligned with approved schedules, resource requirements, contractual obligations, established processes, and organizational policies.
This position will be onsite in Chantilly, VA.
Clearance Requirements: An active TS/SCI with Poly is required. Applicants who do not meet these requirements will not be considered.

Salary Range: $130,000 - $170,000

Responsibilities include but are not limited to:
- Developing, maintaining, and updating high-level project schedules, milestones, and deliverables for high-priority initiatives.
- Track project resources, assignments, availability, and utilization to support effective planning and allocation.
- Coordinate schedule updates and communicate changes, risks, and resource needs to project leadership.
- Documenting, tracking, and coordinating contract requirements, project deliverables, and user requests.
- Maintain requirements and action-item trackers to support traceability and timely completion of project commitments.
- Coordinate with users, technical teams, and stakeholders to clarify requirements, obtain updates, and resolve outstanding questions.
- Monitor contractual milestones and deliverable deadlines and escalate potential issues to the PM.
- Assist with KANBAN Agile process supporting system authorization, risk management
- Support system authorization activities by coordinating required documentation, approvals, evidence collection, and status tracking in accordance with applicable security and compliance processes.
- Identifying, documenting, tracking, and reporting project risks, issues, and dependencies.
- Escalate risks that may affect project schedules, resources, costs, contractual requirements, or delivery objectives.
- Prepare and distribute monthly project status reports summarizing progress, accomplishments, milestones, schedule performance, resource utilization, risks, issues, and upcoming activities.
- Maintain project dashboards, schedules, resource trackers, and action-item logs to support accurate reporting.
- Highlight schedule variances, resource constraints, outstanding deliverables, and issues requiring management attention.
- Ensure reports are complete, accurate, and submitted within established deadlines.
- Maintaining accurate project budget reports and financial tracking records.
- Track budget allocations, actual expenditures, financial commitments, and remaining balances, as applicable.
- Collect and validate financial information in coordination with authorized finance personnel.
- Prepare monthly budget summaries and identify variances between planned and actual expenditures.
- Promptly communicate potential cost overruns, funding concerns, and discrepancies to the PM.
- Maintain financial records in accordance with applicable reporting procedures without independently approving expenditure or reallocating funds.
- Maintain organized and up-to-date project schedules, requirements records, risk registers, deployment documentation, and budget reports.
- Follow up on outstanding actions and support continuous improvement of project coordination and reporting processes.
- Experience in project coordination, project management support, technical operations, or program administration.
- Strong organizational, communication, time-management, and multitasking skills.
- Proficiency in Microsoft Office applications, particularly Excel, Word, PowerPoint, and Outlook.
- Experience maintaining project schedules, resource trackers, status reports, and budget spreadsheets.
- Familiarity with KANBAN Agile methodologies and project tracking tools is preferred.
- Knowledge of requirements tracking, risk management, system authorization, deployment coordination, and procurement processes is desirable.
- Strong attention to detail, accuracy, and documentation practices.
- Ability to coordinate across technical and nontechnical teams and manage competing priorities.
